Evernote, with a Fujitsu ScanSnap, works perfectly for me.

Re: Retention Time for Documents ( Invoices,Bank Statements etc )

I keep my current documents in the apartment. At the end of the year I put them in a box, and mark it with the dates. I have 12 boxes, one for each year.

Estimate the time and money you will spend, scanning all the documents and then keeping them, and making sure you can still read them. Then estimate the time you will spend putting them in a box and storing them in a dry cellar. Since 1977 I have only ever once had to produce an original receipt, older than 12 months.

Does this mean that you have archive of documents dating back to 1977 or even older ?

I keep very little & don't download statements either. If ever needed they can be downloaded or produced by the Bank. I generally throw all receipts away, I don't get an tax deduction from them so no need to keep them

As I wrote I have 12 boxes in my cellar, that isn't likely is it? (Actually I keep only 10 boxes, I made an error)

I scan the document the instant it arrives -- with the Scansnap, it's a one-button operation with no software to open up. OCR makes the document searchable, and into my Evernote repository it goes.

The advantage over paper is 1) storage and 2) retrieval -- I can find any document I need in seconds. This makes life easy at tax time. I'm amazed at how effective the technology is, and often find myself wondering how I used to manage the old way.

Horses for courses....
