A copy of the physical letter. And yes use registered mail. Or at least A post plus.
In addition also get in contact with the ETH International Student Support (in case you are an ETH student) to get more guidance on the matter. They properly know better how long it should take. And also ask the question on reddit at r/ethz .Better likelihood that someone was in the same situation than on EF.
