Request for payment by email

I have received an email (supposedly) from Unia asking that I repay money that was overpaid to me. While it is correct that I do owe Unia, I am not happy about receiving this request by email only rather than by post. I responded asking for confirmation by post and the person replied (in bad French!) that this was not necessary. I don't want to be paranoid but I don't recognize the name of the person who sent the email - do I have a right to insist on receiving this information by post?

Regardless of you having the right to ask written confirmation, maybe it's moot.

If you do owe them something, and you do send them that amount to the correct bank account, does it really matter how or by whom you've been notified? If you've paid them before, then the bank account should be the same. Some ebanking systems, will even recognize the beneficiary automatically when you input the account number during the payment.

In any case, if the bank account is correct the result will be the same: you pay what you owe to the entity you owe it to.

Now, if that person asked you over email to send to a different account, this becomes a different story. But as described I don't see too much of an issue to be honest...

The thing is, I haven't paid them anything before. They overpaid me once last summer and since then some of that money has been deducted from their payments to me. Now that I am working again I have to repay the remaining amount. I have received no confirmation by post of just how much I owe them nor where I have to pay it to.

You can probably call them or send them a registered letter asking for a statement of your account in writing, via Post.

My initial thought was to be suspicious, but more and more businesses are using e-communications so it might be legit. Still, it doesn't hurt to double-check before transferring money. Also make sure the amount matches what you know you owe.

Did you agree with them on email being a correspondence channel? I had to sign up for that with insurances and until then, they always sent anything by regular mail

Just call them and ask.

If you don't like German / Swiss German then ask for someone who can explain this to you.

I lived in fear of such Swiss "authorities", probably originating from a trauma when I called the tax office a couple of decades ago and got the (here translated) response

"if you can't speak Swiss German, then why are you here".
That was about 1990, hope and believe that it's developed since then.

It has. I called the tax office in Winterthur last year. I apologized for my bad German and asked if the dude spoke English. He was very nice, answered my question in English, and I thanked him for speaking English.

Back in '91, I went to the Lugano tax office to ask for help in filling out my return, and got a young guy who spoke flawless English and helped me fill out my return!

Normally I receive all correspondence such as pay slips by post from Unia. The money was overpaid to me by Unia Geneva. They sent me a letter telling me how much I owed. Since then I moved to Zug and was paid by Unia Luzern. Luzern deducted some of the money I owe by reducing the amount of "tagegelder" they paid me but did not given me any confirmation of just how much this deduction represents. Every month the amout of Tagegelder a peson is paid varies and it is not easy to calculate just how much you will receive as some holidays are deducted and others are not. In January for example I don't know if I was paid for the 2 January as this is a holiday in Zug but not in Geneva. To sort this out I would like postal confirmation of the exact amount and where it is to be paid to.

I think he might be better off with French since he mentioned the email being in bad French in his post.
I’m guessing it’s UNIA in the French speaking part of Switzerland.
It sounds a bit strange to me so I would definitely call and ask them.

For once the shoe is on the other foot. You owe them money, they need to demand that back in a systematic way, showing what you owe and why.

I would replay to email saying that prevalent cyber fraud makes you reluctant to obey unauthenticated emailed instructions and that you insist on formal correspondence detailing the amount you owe along with payment instructions.

Any sensible organisation will be ok with that, unless someone there is trying to hide an error they made under the carpet.

Actually it is Unia in Luzern. So why did they write to me in French? I don't know. I would call them but what would I say? First of all I would like to know if I am legally entitled to ask for postal confirmation.

I had to call Unia Luzern several times in relation to this. Each time I got a different answer from a different person and much of the information they gave me was wrong. I get the impression that many of the people who work at Unia Luzern are either students doing work placements or volunteers. While it is not their fault, they are not well informed on non-standard questions (they were not aware that an Ausländer who changes Canton needs a new Ausweis and that it is not possible to register with Unia without an up to date Ausweis) and I prefer to have all correspondence with Unia Luzern in writing.

Then do it that way. Write a letter, enclose a copy of the dodgy email, and ask them to confirm where you stand (in writing). Send it registered Post.

I don't know if you're legally entitled to a written reply, but generally a written request is followed by a written reply.

The truth: That you don't trust the email, you worry it's a scam and that you futhermore don't know how much you need to pay to what account.
Therefore you would like to have a bill (an Abrechnung, rather) and a pay-slip (Einzahlungsschein) so you can settle it.
