How to request school absence before school starts

Hi all,

I have to attend a family wedding abroad at the end of the first week after the new school year begins. Taking my family with me means that my kids will miss three school days and I'd like to request an authorised absence for them. But since school is currently out I'm not sure whether I can kick off this process now, or whether I need to wait till the first day of school and request the forms from the teacher. Does anyone know if there is some authority which I can contact to inform them in advance?

Thanks
Kash.

Hi,

Three days? I don't think you'll stand a chance. Schools can be pretty strict when it comes to pupils taking time off.

Re: How to request school absence before school starts

I got 3 days last year without any problem. And another kid in my son's class got 8 days!

So definitely possible.

It's a family wedding so i hope they are understanding.

Since you already got days off last year, maybe you could contact the person/people you contacted last year to get the days off so they can give you advice on your request for this year?
Good luck.

Re: How to request school absence before school starts

It was the school teacher who we spoke to directly last year. But since school is off for another three weeks, I'd rather get the ball rolling now than turn up on the first day of term and ask for days off at the end of the same week.

You know who the new teacher is, right? Call or email that person, explain the situation and hope for the best? Is there a way that you can just go and not take the kiddos along?

Often there is an administrator or secretary working in the mornings at the main head or district of the school system, perhaps try calling or stopping by.

You could try the school administration. They may not all be off. I know when we arrived in CH for the first time, we received a letter during the holidays from the school, explaining where and when we needed to be when term started.

Kind of curious - didn't you know about this family wedding several months before the end of last term?

That's exactly the question which came to my mind too. And I am pretty sure that the school administration will ask the same. In my canton you have to ask for permission at least 30 days in advance.

If I were you I wouldn't tell them that. Try to sell them the date as a postponement, something like that the marriage originally had been planned for July, but had to be postponed because the groom caught the measels

I agree with simplon: if you knew before end of terms, they probably won't see why adult responsible parents wouldn't have mentioned it then. In a sense, there is no "good" way to get out of your situation. Go to them first day of school or even try to call every day the week before and keep it simple.

Re: How to request school absence before school starts

I've found this page on the Canton Zurich website that gives details for the offices of the various Schulkreise in Zurich. So I'm going to pop over to my local one tomorrow and see what they say.

Re: How to request school absence before school starts

Just wanted to update you on the situation (sorry drmom, I didn't see your last post until just now, otherwise I would have replied that I was waiting for news to report back on).

So I went to the Schulkreise office a few weeks ago but found it closed: it turns out that the office remains closed for the middle three weeks of the summer holidays; so I left a note for them explaining the situation and asking them to call me so that we could discuss further. Result: never heard back from them.

Then last week, my wife magically pulled out the personal mobile number of the Kindergarten teacher. After explaining the situation to her, she told us not to worry and that since it was the beginning of the year, she'll allow the 3 days absence for my daughter. All we needed to do was to fill in an authorised absence request form and return it to her which we did today.

The situation with my son who this week started in the first year of Primarschule was a bit different. I spoke to his teachers on the first day (yesterday) and I got a bit of a mixed message from them. They said that in their books a family wedding does not justify a three-day absence. But then they asked: "you're going to go to London anyway, right?" I said "well, I've already booked the flights."

So they asked me to write a letter explaining the situation which they would then pass to the district school authorities and await their decision. I got the sense that they want to be strict in enforcing the rules regarding unauthorised absences, but when I offered to change the flight for myself and my son to come back a day earlier, they said, "no don't worry about that, you should be ok."

I made sure that the letter was polite & apologetic and conveying the message that I'm not taking the piss by pulling my son out of school during term-time just because I feel like it.

"Es handelt sich um einen Ausnahmefall und er wird keinen weiteren Unterricht dieses Jahr versäumen."

I think that went down well with the teacher.

So thankfully, we're in the clear now and can look forward to a big family wedding!

Kash.

PS I found out that each year each student has 2 "joker days" which can be used as days off school if the teacher is given sufficient notice (around 2 weeks) and the dates chosen do not clash with an important event, e.g. exam day - and the teachers are generally a bit more lax in granting these days off.

Re: How to request school absence before school starts

Good news! Our school has joker days as well but they are stated as 2 half days, so I guess if the kid has afternoon school you need to use 2 for one day...I am really not sure on this but that is what I assume, which often isn't correct

They seem to be more reasonable here than they were in Germany where I asked for one day off for my daughter as we were flying to the US for the week long fall break and leaving on Friday meant we would arrive Friday late and be able to visit with my other family members who were also flying in, some of them for only the weekend. I also had to write a letter, flowered it up with how important education is to us, etc., and we were given permission. It would have been much easier for me to just call in that morning and say she was sick, but I didn't want (a) the truth to get out and (b) set a bad example!

Re: How to request school absence before school starts

I had to the same as due to a family members terminal illness their wedding was moved forward and I only had 1 weeks notice. I asked the teacher who said she could only grant 1/2 days so I had to send the letter to the main authority and we only asked for 1 day off and they called us the day before the one we wanted off to ask more questions...

It turned out in the end he had chicken pox anyway so had already been off school we had to drive back to uk for the wedding instead of fly...

Glad all worked out and enjoy the wedding
