entree sous-locataire form

I will start working on March 1 2014 at Geneva University with a two years contract. In order to make the contract the human resources department of the university asks for an address in Geneva that I of course still do not have since I will live in France for the next 5 months. I told them that I would be staying in Geneva with a friend when I arrive and that once in Geneva I will look for my own place. The problem is that they need a form called entree sous-locataire , but my friend cannot do this legally. In order to do so she needs to ask permission to the Reggie. I am not sub-letting her apartment; I am just using her couch for a couple of weeks up to the point where I find an apartment or residence.
Does anybody knows of any formal document exists to declare that someone is cohabitating in the house without paying (not subletting). Has anyone went through the same situation when entering Switzerland, how do you solve it?
