How do real estate agencies make decisions while choosing new tenants?

Hello everyone.

Does anybody have a clue how the process of making decisions works in real estate agencies?
We are looking for a new apartment. We have visited about 6 apartments during the last 3 months and applied to every apartment after visiting. All the apartments were new and very nice. There were other visitors except us (i don't know how much, but the last apartment had more than 10 requests on homegate.ch according to host words.). We weren't approved for any of those apartments. We are a family of 3 people: 1-year baby, me and my husband. My husband is a software engineer, I am also a software engineer but now I don't work. We visited the apartment with 3.5 or 4.5 rooms.

So I'm interesting what criterion do the agencies have? What is the algorithm for making a decision who is suitable for renting an apartment and who is not?

First of all: 6 apartments in 3 months is really not much, and if they are new and very nice in Zürich the only limit on people who apply is the amount of forms the agency supplies.

Criteria 1: Stable high enough income and permit/passport.

For the rest it all depends on personal preference, some want families to exactly fit the amount of rooms, others dislike little kids or love them, some prefer Swiss above expats, or did not like the color of your socks during the visit, or they think you earn to much and should find something bigger etc.. etc..

Just keep looking, and use the people, FB groups this site etc.. you can use to find something before it ends up on the market.

Thanks for your reply. Yes, I make an idea in my mind similar to your explanation. But I thought maybe there is something else I need to know. What income do you think is high enough?

Any apartment that has a rent which is higher than a 3rd of your income is a complete waste of time.

prepare your application well: a letter to introduce your family, a reference letter from your employer, income statements etc.
and as EdwinNL wrote, rent should be max 30% of your monthly income.


in the end, agencies decide primarily on risk and secondarily if your family fits in with the other tenants.
